Meeting/Study Rooms

Study Rooms

Hamilton East Public Library locations offer study rooms. They may be used for individual studying, private tutoring, and other in-person or virtual workspace needs. Study rooms are reserved online.

  • Reservations are made in 30-minute blocks of time
  • Maximum reservation per session is 2 hours (120 minutes)
  • Maximum time per day is up to 4 hours (240 minutes)
  • If multiple sessions are available, they may be in different rooms
  • Varying room sizes – maximum occupancy ranges from 2-6 people

Large Meeting Spaces

Hamilton East Public Library has meeting rooms and computer training classrooms that may be reserved for groups of more than six people during normal library hours. Audiovisual equipment, wi-fi, and kitchenette access is available.

 

  • All activities held in the meeting rooms must be free of charge. No money may be exchanged prior to, during or after an event. Tickets may not be sold nor donations or freewill offerings taken. Endorsement/sales of a service/product is prohibited except in support of HEPL.
  • Private parties (e.g. birthdays, reunions, showers, fundraisers) are not permitted.
  • Meeting rooms may not be used for private tutoring or individual study.
  • Groups may utilize space up to 18 times each year.

Eligibility

Meeting rooms may be reserved for groups by residents located within the HEPL district with an active library card and attendance of at least six people.

Not-for-profit groups may reserve meeting rooms free of charge during normal business hours.

For a fee, for-profit groups may reserve meeting rooms for staff training only.

Not-For-Profit Groups

No rental fees are required for not-for-profit groups.

Not-for-profit groups must have at least one member residing within the library’s taxing district.

A HEPL card (in good standing with no fines) must be provided by one of the group members in order to make a reservation.

For-Profit Groups

Daily rates for for-profit groups are:

  • Meeting rooms – $50 (up to 4 hours); $100 (over 4 hours)
  • Computer training classrooms – $100 (up to 4 hours); $200 (over 4 hours)

Space may be reserved for staff training only.

For-profit groups must have at least one member of the group residing within the library’s taxing district.

A HEPL card (in good standing with no fines) must be provided by one of the group members in order to make a reservation.

Policies

Meetings rooms not being utilized for HEPL programming are available on a first-come, first-served basis to organizations that meet the required criteria. Space is subject to availability, yet every effort is made to accommodate as many groups as possible.

Your group must authorize an individual to make reservations on its behalf, using the online reservation system, and take full responsibility for any damages and/or cleaning charges.

When making your reservation, please allow time prior to your event start time to set up the room to your specifications. Tables and chairs may be rearranged, but must be returned to their original set-up.

Availability

Meeting space is available during these times only:

Monday – Thursday 9:30 a.m.—7:30 p.m.

Friday – Saturday 9:30 a.m.—5:30 p.m.

Sunday 1:00 p.m.—5:30 P.M.

Times may vary during holidays or emergency closings. Groups may not access the rooms until the library opens.

Reservation requests must be submitted through our online reservation system from seven days prior up to three months prior to a proposed meeting date. Manage your reservations here.
